Veteran Recovery Coalition, Inc. (“VRC,” “we,” “us,” or “our”) respects the privacy of veterans, veteran families, donors, volunteers, partners, website visitors, and others who communicate with us.

This Privacy Policy explains how we collect, use, retain, protect, and disclose information through VeteranRecoveryCoalition.org, any website that redirects to or is operated by VRC, VRC-controlled social-media accounts, online forms, donation pages, email communications, events, and other interactions with VRC.

By using our website or voluntarily providing information to VRC, you acknowledge the practices described in this Privacy Policy.

1. Information We Collect

Depending on how you interact with VRC, we may collect the following categories of information:

Contact Information

This may include your:

• Name;
• Mailing address;
• Email address;
• Telephone number;
• Preferred method of contact; and
• City and state.

Veteran and Platform-Intake Information

When a veteran or family member requests assistance, we may collect information reasonably necessary to understand the request, determine potential eligibility, develop a recovery plan, coordinate services, and communicate with service providers.

This may include information concerning:

• Military or veteran status;
• Branch of service;
• General service history;
• Household and family circumstances;
• Housing or homelessness;
• Employment, education, and job training;
• Transportation;
• Utilities and essential household needs;
• Financial hardship;
• Disabilities, health conditions, or recovery-related needs voluntarily disclosed to us;
• Benefits or community resources;
• The nature and circumstances of a crisis; and
• Services requested, offered, coordinated, or received.

VRC will request additional documentation only when reasonably necessary for platform administration, eligibility verification, fraud prevention, payment to an approved service provider, or coordination of assistance.

Important Warning About Sensitive Information

Do not submit Social Security numbers, banking passwords, credit-card information, complete medical records, VA account passwords, benefits portal credentials, or copies of identity documents through a general website contact form, social-media message, or unencrypted email.

If additional sensitive documentation is required, VRC will provide instructions regarding an appropriate submission method.

Donation and Transaction Information

When you make a donation, sponsorship payment, purchase, or other financial transaction, we may receive:

• Your name and contact information;
• Donation or transaction amount;
• Date of the transaction;
• Campaign, tribute, or designation information;
• Billing address;
• Limited transaction details supplied by the payment processor;
• Employer-matching information; and
• Information needed to issue an acknowledgment or receipt.

Payment-card and banking information is generally collected and processed directly by third-party payment processors. VRC does not intend to store complete payment-card numbers or online banking credentials on its website.

Third-party payment processors maintain their own privacy and security practices. Donors should review the processor’s privacy policy before completing a transaction.

Volunteer, Ambassador, Partner, and Employment Information

We may collect information submitted in connection with volunteering, employment, board service, ambassador participation, partnerships, sponsorships, or vendor relationships, including professional background, qualifications, references, availability, and relevant service history.

Testimonials, Photographs, and Media

With appropriate permission, VRC may collect and publish:

• Testimonials;
• Photographs;
• Video or audio recordings;
• Names, ranks, military branches, and service information;
• Veteran success stories;
• Tribute or memorial information; and
• Information supplied for the Veteran Honor Wall.

We will seek appropriate authorization before intentionally publishing sensitive personal information about an identifiable veteran or family member. Individuals should not submit another person’s private information, photograph, or story unless they have authority or permission to do so.

Website and Device Information

When you use our website, we and our service providers may automatically collect certain technical information, including:

• Internet Protocol address;
• Browser and device type;
• Operating system;
• Referring website;
• Pages viewed;
• Links selected;
• Approximate location derived from an IP address;
• Date and time of access;
• Website performance and security information; and
• Cookie or similar technology identifiers.

2. How We Use Information

VRC may use collected information to:

• Respond to requests for assistance;
• Evaluate potential platform eligibility;
• Develop and administer veteran recovery plans;
• Coordinate housing, utilities, food, transportation, employment, education, benefits, recovery, and other support;
• Communicate with veterans, family members, donors, volunteers, partners, and service providers;
• Verify requests and prevent fraud, misuse, or duplicate assistance;
• Make authorized payments directly to landlords, utility providers, grocery providers, repair vendors, educational institutions, transportation providers, or other approved service providers;
• Process donations, sponsorships, purchases, and acknowledgments;
• Administer tribute gifts and the Veteran Honor Wall;
• Operate and improve our programs, website, and communications;
• Measure platform participation and outcomes;
• Recruit and manage volunteers, employees, ambassadors, and partners;
• Provide news, platform updates, fundraising communications, and event information;
• Maintain financial, tax, governance, platform, and compliance records;
• Protect the safety, rights, property, and integrity of VRC and others;
• Investigate suspected fraud, abuse, threats, or security incidents;
• Comply with applicable laws, legal process, grant requirements, insurance obligations, or governmental requests; and
• Carry out other purposes disclosed when the information is collected or authorized by the individual.

3. How We Share Information

VRC does not sell personal information.

We may disclose information in the following limited circumstances:

With Your Direction or Consent

We may share information when you request or authorize us to coordinate assistance with a landlord, utility provider, employer, educational institution, benefits resource, healthcare or recovery provider, community organization, government agency, family member, or other service provider.

Service Coordination

We may disclose the minimum information reasonably necessary to evaluate, arrange, verify, or pay for assistance. Whenever practicable, we will explain the purpose of the disclosure and obtain the individual’s permission before sharing sensitive platform information.

Vendors and Technology Providers

We may disclose information to organizations that provide services on VRC’s behalf, such as:

• Website hosting;
• Website maintenance;
• Secure data storage;
• Payment processing;
• Email delivery;
• Customer or case-management systems;
• Accounting;
• Analytics;
• Cybersecurity;
• Professional consulting; and
• Document management.

These providers may use the information only as permitted by their agreements, their applicable privacy policies, and the law.

Legal, Safety, and Compliance Reasons

We may disclose information when we reasonably believe disclosure is necessary to:

• Comply with applicable law, a subpoena, court order, or lawful government request;
• Protect an individual from a serious or imminent threat of harm;
• Report suspected abuse, exploitation, fraud, or criminal conduct when legally required or reasonably necessary;
• Enforce VRC’s rights and policies;
• Protect VRC, its personnel, platform participants, donors, partners, or the public; or
• Investigate or respond to a data-security incident.

Organizational Transactions

If VRC enters into a merger, consolidation, restructuring, transfer of programs, or similar organizational transaction, information may be transferred subject to applicable law and appropriate confidentiality protections.

4. Donor Privacy

VRC respects donor privacy and does not sell, rent, or exchange donor mailing lists or personal information for another organization’s independent marketing purposes.

VRC may:

• Use donor information to process and acknowledge contributions;
• Contact donors about VRC programs, events, fundraising campaigns, and organizational updates;
• Share necessary information with payment processors, accounting providers, employer-matching platforms, and professional advisors;
• Recognize a donor publicly when the donor has requested or authorized recognition; and
• Disclose information when required by law.

Donors may request anonymous public recognition or ask not to receive non-transactional fundraising communications.

Certain information concerning substantial donors may be reported to governmental authorities when required by law, although such information is not necessarily available for public inspection.

5. Email, Text Messages, and Fundraising Communications

If you subscribe to VRC communications or otherwise provide permission to receive them, we may send platform news, event notices, volunteer opportunities, fundraising messages, and organizational updates.

You may unsubscribe from non-transactional emails by selecting the unsubscribe link in the message or contacting us. We may continue to send transactional, donation-related, safety-related, platform-administration, or legally required communications.

VRC will send recurring promotional text messages only when appropriate consent has been obtained. Message and data rates may apply. Consent to receive promotional communications is not a condition of receiving veteran services or making a donation.

6. Cookies and Analytics

VRC’s website may use cookies, pixels, analytics, embedded content, and similar technologies to:

• Keep the website functioning;
• Remember user preferences;
• Understand website traffic and use;
• Measure the effectiveness of communications;
• Detect malicious activity;
• Improve accessibility and performance; and
• Support authorized fundraising and outreach.

Some cookies may be placed by third parties that provide analytics, embedded videos, social-media features, donation processing, or other website services.

Where required, visitors will be offered appropriate cookie choices. Browser settings may also allow users to block or delete cookies, although disabling necessary cookies can affect website functionality.

7. Social Media

VRC maintains accounts on third-party social-media platforms. Information submitted through comments, posts, tags, direct messages, or other social-media features is governed both by this Privacy Policy and by the platform’s own privacy practices.

Social-media messages are not an appropriate method for submitting sensitive veteran, financial, medical, identity, or benefits information.

Information posted publicly may be viewed, copied, shared, or retained by others. VRC cannot control information after it has been publicly posted or independently shared by other users.

8. Testimonials, Veteran Stories, and Public Recognition

VRC will seek appropriate written permission before intentionally using an identifiable individual’s testimonial, photograph, video, or personal story for public fundraising, advertising, or promotional purposes.

Permission may address:

• The information and media authorized for use;
• Where and how it may be used;
• Whether the individual received services, assistance, compensation, or another benefit;
• Whether the individual’s military service, family circumstances, health, housing, financial, or recovery information may be disclosed; and
• The duration of the authorization.

VRC may edit material for length, grammar, clarity, or formatting but will not knowingly change the material meaning of a testimonial.

A person may request that VRC discontinue future use of an authorized testimonial or image. VRC will make reasonable efforts to honor the request prospectively, but it may not be possible to retrieve materials already printed, distributed, archived, or independently shared.

9. Data Security

VRC uses reasonable administrative, technical, and physical measures appropriate to the organization’s size and operations to protect personal information from unauthorized access, loss, misuse, alteration, or disclosure.

No website, email system, electronic transmission, or storage system can be guaranteed to be completely secure. For this reason, users should not send highly sensitive information through general website forms, standard email, or social-media messaging.

If VRC becomes aware of a data-security incident involving personal information, it will investigate and provide notices as required by applicable law.

10. Data Retention

VRC retains personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including platform administration, service coordination, donor acknowledgment, accounting, tax compliance, grant reporting, legal compliance, fraud prevention, dispute resolution, safety, and records retention.

Retention periods may vary depending on:

• The type and sensitivity of the information;
• The nature and duration of the veteran’s recovery plan;
• The existence of an ongoing donor, volunteer, partner, or service relationship;
• Legal, tax, insurance, grant, audit, or contractual requirements; and
• The need to establish, exercise, or defend legal rights.

When information is no longer reasonably necessary, VRC may delete, anonymize, or securely dispose of it in accordance with its records-retention practices.

11. Choices and Requests Concerning Your Information

Subject to applicable law and appropriate identity verification, an individual may contact VRC to request that we:

• Confirm whether we maintain their personal information;
• Correct inaccurate contact information;
• Update communication preferences;
• Stop non-transactional fundraising or marketing communications;
• Remove their information from public recognition where reasonably practicable;
• Request deletion of certain information; or
• Ask questions about how their information has been used or disclosed.

VRC may retain information when necessary to comply with legal, accounting, tax, safety, grant, fraud-prevention, contractual, or platform-record requirements. We may also decline a request when fulfilling it would adversely affect another person’s rights or interfere with an active legal or security matter.

To protect privacy, VRC may require reasonable verification before fulfilling a request.

12. Children’s Privacy

VRC’s website is not directed to children under 13, and VRC does not knowingly collect personal information online directly from children under 13 without appropriate parental or legal-guardian consent.

Parents and guardians should submit family-assistance requests on behalf of minor children and should avoid publicly posting sensitive information about a child.

If VRC learns that personal information was collected online directly from a child under 13 without appropriate authorization, VRC will take reasonable steps to delete it.

13. Crisis and Emergency Communications

VRC is not an emergency-response service, medical provider, mental-health provider, law firm, financial institution, or government agency. A website form, email, or social-media message may not be reviewed immediately.

If you are in immediate danger, call 911.

If you are a veteran in crisis or concerned about one, call 988 and press 1, text 838255, or contact the Veterans Crisis Line through its official website.

Submitting information to VRC does not create an attorney-client, doctor-patient, therapist-client, fiduciary, or other legally privileged relationship.

14. Third-Party Websites and Services

The VRC website may link to government agencies, social-media platforms, payment processors, community partners, service providers, sponsors, and other third parties.

VRC does not control and is not responsible for the privacy, security, availability, accuracy, or content of third-party websites or services. A link does not necessarily constitute VRC’s endorsement of all content, products, policies, or activities of the third party.

Visitors should review the privacy practices of each third party before providing information.

15. International Visitors

VRC is based in the United States and primarily serves individuals and communities within the United States. Information submitted to VRC may be processed and stored in the United States, where privacy laws may differ from those in another country.

International visitors should not submit personal information unless they understand and accept that it may be processed in the United States.

16. Changes to This Privacy Policy

VRC may update this Privacy Policy to reflect changes in its programs, technology, service providers, legal obligations, or information practices.

The updated policy will be posted on this page with a revised “Last Updated” date. Material changes may also be communicated through the website, email, or another reasonable method.

Continued use of the website after an updated policy is posted constitutes acknowledgment of the revised policy, to the extent permitted by law.
